Owning or leasing a copier, printer, or multifunctional printer (MFP) is just like owning a computer in your office. It’s essential to complete everyday tasks.  Whether you have a desktop model or a free-standing workhorse, chances are it’s one office expense you cannot avoid having.   You may even have multiple units in your office.  If you’re expanding your office, opening up a new business, or considering switching vendors, you’re probably asking yourself: What are the differentiators between copier brands, and which one is the right one for me?

Top 3 Differentiators Between Copier Brands

 

1. Interface

A copier’s interface is by far the largest differentiator.  Most have the ability to print, copy, scan and fax (whether standard or an add-on.) The ease of use, though, is completely dependent on every user’s individual experience interacting with the device. The software running in the background is what’s unique. For example: Canon runs on the the imageRUNNER ADVANCE Xerox software is called ConnectKey Technology. Konica Minolta uses the bizhub ARCHITECTURE. Ricoh uses the Smart Developer Program. Each interface features its own unique workflows and processes for scanning, faxing and copying a document.

2. Service and Support

The second biggest differentiator between every brand of copier is the service and support that accompanies the device. All machines do two things in their simplest form: A) Produce pages and B) Break down at some point. When buying or leasing a new machine, you should focus on how the company you partner with will respond when the machine has a service issue. Service response times are important, however, the service technician having the parts to fix the device on the first call in his car stock is what is key to getting your machine up and running quickly.

3. Brand Reputation

Just like cars, there are several different levels with brands. Some could be compared to the Cadillacs – with robust features designed to impress even the busiest offices. Some are very basic, with minimal features designed to assist start-ups or offices with very little printing and copying needs. When evaluating copier brands, make sure you are doing a comparison on the brand’s reputation. Some questions to consider are: A) Has this make/model won any awards? B) How does it stand up to heavy volume? C) What is the color quality? D) How quickly should I expect to go through consumables (toner, drums.) Many of the brands mentioned above are at the highest end of the spectrum when it comes to brand reputation. Choosing a brand with a high reputation can be the difference between an increase or decrease in productivity.

Without a doubt, when making a decision to go with a certain brand of copier, it is best to also evaluate the dealership you are purchasing it from. Service (both when calling or a live technician) is the key to an enhanced customer experience. Look for a service provider that exceeds your expectations, has a service guarantee, has awards of their own for service, has a fast response time, and has a live customer service center.
